How Do You Choose an Experiential Activation Partner for an Agency-Led Campaign?
By Dennis Walthers | Founder & CEO, Interactive Dallas | Author of The Experiential Advantage
Look for practical judgment before the event and calm ownership during delivery.
Choose an activation partner who can interpret the brief, explain operational limits, prepare the actual configuration, and adapt when conditions change. A compelling demo is useful, but the stronger test is how the supplier turns that demo into a reliable guest experience inside an agency-led event.
Why do partner relationships break down?
A supplier may have impressive technology yet leave unclear who supplies staff, owns product questions, manages errors, or communicates capacity. Agencies know their clients; the specialist should contribute practical advice and take responsibility for the agreed delivery rather than overstate its role in campaign strategy.
What should the evaluation cover?
Ask how the partner moves from concept to prototype, tests with real guests, prepares equipment, and handles exceptions. Discuss required personnel and expected demand early. Request a clear boundary between activation support and the client’s product or sales responsibilities.
What I expect professional execution to include
We preconfigure equipment and complete needed computer updates before an event, then allow time for setup and troubleshooting at the venue. Avoidable interruptions can consume the very operating time the client purchased. Preparation should include the full capture-to-delivery path, not just powering on the hardware.
Experience also matters when a component fails. When a DSLR stopped working during one activation, I switched to the iPad Pro already in the setup. We resumed in about two minutes, and guests appeared unaware of the capture change beyond the brief pause. That is one recovery example, not a promise that every failure has a two-minute solution.
For Iris and AI Booth work, I establish whether the client can dedicate people to assist. If they cannot, we bring additional staff. Our attendants help the experience run smoothly and connect guests with an exhibitor employee when a product question arises.
How can a responsive LED environment make a reveal participatory?
An interactive LED environment can connect guest movement with a visual response. In Interactive Dallas’s published project, motion sensing and custom content supported responsive imagery and a hidden-reveal treatment. The practical lesson is to design the interaction and the display together. Confirm lighting, safe circulation, sensor placement, installation requirements, and the exact creative behavior before treating a screen as an interactive experience.

How can digital graffiti give guests creative ownership?
Digital graffiti changes the guest’s role from observer to creator. Interactive Dallas’s Nissan campus campaign connected touchscreen artwork with a vehicle through projection mapping, letting participants see their own contribution within the brand environment. That project illustrates a useful design principle: make the product or message part of the action. A new installation needs its own creative assets, display plan, operating footprint, and permissions.
How can an AI campaign portrait make the message personal?
An AI photo experience can put the guest inside an approved campaign world rather than placing a logo around a generic photograph. In Interactive Dallas’s Southwest Airlines project, the superhero treatment connected the guest image to the campaign’s creative theme. For a new brief, define the intended transformation, approve representative outputs, and decide how the printed or digital takeaway supports the next conversation.
What does relevant proof look like?
Good partner relationships combine honest advice with respect for the planner’s decision. I explain when one station is unlikely to serve the full audience, offer alternatives, and then execute the agreed plan. The client should understand the tradeoff before guests encounter it.
What should the comparison include before you book?
Evaluate the partner’s questions as well as the portfolio: who are the guests, what is the objective, how many people should participate, what output is required, and who supports each step? Ask for comparable examples and a recovery plan appropriate to your configuration.
Should agencies ask for a live workflow demonstration?
Yes, especially when capacity, output quality, or delivery is central to the brief.
Is white-label delivery always included?
No. Agree on branding, staffing presentation, client contact, and reporting responsibilities in the scope.
How can Interactive Dallas help you plan the next step?
Interactive Dallas works with brands, agencies, and event teams to match interactive experiences to campaign goals. Share your audience, event date, venue, expected guest volume, and desired outcome so the team can recommend an appropriate creative and operating approach.
