Which Dallas-Fort Worth Trade Show Venues Fit Your Activation?
Updated: 22 hours ago
Choose a Dallas-Fort Worth trade-show venue by the event location, assigned room or booth, access schedule, and production rules. Compare official venue information, then request an activation layout for the space you actually control. Venue-wide square footage is useful context, but it does not establish exhibitor capacity, availability, or equipment clearance.

This is a planning shortlist, not a ranked survey. Dallas–Fort Worth includes several separate cities: Gaylord Texan is in Grapevine and Loews Arlington is in Arlington. Check the actual venue address, room, event date and exhibitor manual before planning an activation. The official figures below were checked on October 25, 2026; they describe venue-wide inventories, not the space available to a particular exhibitor.
What should you check at Kay Bailey Hutchison Convention Center Dallas?
The convention center’s current About page lists 753,965 square feet of programmable event space, including 529,250 square feet of exhibit space. It also describes an expansion expected to open in 2030. Planned facilities should not be treated as current bookable space. For an LED installation or photo activation, use the show’s assigned booth dimensions, access schedule and power rules. Source: Official venue source
What should you check at Gaylord Texan in Grapevine?
Marriott’s current events page lists 490,132 square feet of total event space and 87 event rooms. Its Grapevine location is part of the wider DFW area. For a multi-day conference, confirm the particular ballroom or exhibit location and the operating periods for any photo, art or VR station. Source: Official venue source
What should you check at Hilton Anatole in Dallas?
Hilton’s current events page lists 332,218 square feet of total event space, 65 meeting rooms and a largest room setup of 75,900 square feet. Older materials can use different totals or definitions. Select the room-specific capacity chart and floor plan for your event. A GlamBOT or multi-camera installation needs its own equipment, guest and queue footprint within that room. What should you check at Sheraton Dallas Hotel?
The current Marriott event-space summary lists 227,841 square feet and 53 event rooms; other marketing copy on the same page uses rounded totals. Use the current capacity chart for the actual room and layout. A hotel-wide total does not establish the capacity or clearance of an activation in a pre-function area. Source: Official venue source
What should you check at Omni Dallas Hotel?
Omni’s current meetings page lists 110,000 square feet of meeting space and 41 meeting rooms at 555 S Lamar, Dallas. It is near the convention center, but a hotel function and a convention-center exhibition can have different production rules. Confirm the loading route, event contact and approved location for your equipment. Source: Official venue source
Which other DFW locations might fit the brief?
Dallas Market Hall, Renaissance Dallas Addison and venues in Arlington can also be considered. Treat each as a separate venue enquiry. A shortlist does not establish room availability, a partnership with Interactive Dallas or approval for a particular installation.
How do you match the activation to your allocated space?
Start with the event objective: a personal photo keepsake, an artist-led activity, a product demonstration or a staffed conversation. Then ask for a measured layout showing equipment, lighting, guest position, queue, cables and access routes. A 10-by-10-foot booth should not be assumed to accommodate every activation. Confirm ceiling and floor restrictions, power, internet, setup and removal times, staffing and any exhibitor-service charges before approving the scope.
Define the result you will record: completed sessions, participants, successfully delivered files or permission-based enquiries. These are different measures; increased booth traffic or recall needs its own evidence.
What problems should exhibitors ask about venue planning?
What if a venue lists several different space totals?
Check whether each figure describes total meeting space, exhibit space, pre-function areas, or a particular room. Use the current room capacity chart and floor plan for the actual booking. Do not turn a building-wide marketing figure into a booth-capacity claim.
How do we plan around convention-center expansion?
Ask the show organizer for the current exhibitor manual, assigned hall, loading route, and access schedule for your date. Keep planned future facilities separate from current operating space. Reconfirm arrangements before production because access details can be event-specific.
Can a 10-by-10-foot booth fit a moving-camera activation?
Do not assume so. Ask for a dimensioned plan including camera clearance, guests, operator, lighting, queue, and exit. If the complete layout does not fit within the approved allocation, compare a different format or obtain an approved larger space.
What if our hotel event is next to a convention exhibition?
Confirm the event contact, venue, room, loading route, production rules, and approved vendor arrangements for each activity. Proximity does not mean the hotel and exhibition share the same access or service requirements.
How do we avoid surprise production charges?
Review power, internet, rigging if relevant, labor, delivery, material handling, and exhibitor-service requirements with the organizer and supplier. Request an itemized scope and identify which costs are paid to the venue, show contractor, or activation provider. Use the activation budget guide to account for costs beyond the equipment.
How do you request a venue-specific activation plan?
Send the date, venue, room or booth number, exhibitor manual, dimensioned floor plan, event hours, and desired guest action. Review Interactive Dallas services and request a layout and operating proposal. Venue availability and production approval must be confirmed for the actual event.
